Theramate is a professional assistance tool designed to facilitate practice management, clinical note-taking, and therapeutic analysis.
It is not a medical device and in no way substitutes for the clinical judgment of the professional.
Encryption: All clinical data is encrypted (AES-256) before storage.
Hosting: Application data is hosted on Google Cloud infrastructure located in the European Union, with contractually governed subprocessors.
Your rights: In accordance with GDPR, you have the right to access, rectify, port, and delete your data.
Retention: Data is retained for the duration of your subscription. Upon cancellation, you can export your data within 1 year before permanent deletion.
Features and providers: Theramate uses the professional APIs of Google and OpenAI for writing assistance, summaries, documents and contextual responses. Audio transcription is provided by Soniox through its European (EU) endpoint.
Data processed: Depending on the feature used, the necessary data is sent to these providers: notes, transcripts, selected documents and clinical context to Google and OpenAI; session audio to Soniox. Content may include personal and health data. Audio may include voices and identifying information.
Your data remains confidential
AI providers do not retain the content sent to them and never use it to train or improve their models. These safeguards are backed by contractual confidentiality and data protection agreements, including Zero Data Retention (ZDR) commitments.
Processing takes place in volatile memory solely to perform the requested task, without storage or logging of content by AI providers. Our own technical logs contain no identifiable health data.
Within Theramate, your clinical records remain stored to support your ongoing care, encrypted at rest. Communications with providers are also encrypted in transit.
Authorization: By accepting these Terms, you authorize Theramate to send Google, OpenAI and Soniox the data necessary for the AI features you use, under the conditions described above. This authorization does not replace the information and authorizations required from your patients.
Your professional control: Generated content consists of proposals that you may review, edit, accept or reject. It does not replace your clinical judgment.

Theramate cannot be held responsible for clinical decisions made based on information provided by the platform.
Your content: Notes, reports, and documents you create remain your exclusive property. You retain all rights to your work.
Our platform: Theramate, its interface, features, and source code are the property of Playfields SPRL.
We strive to ensure optimal platform availability. However, interruptions for maintenance or updates may occur.
We do not guarantee uninterrupted service availability.
We reserve the right to modify these Terms. Any substantial modification will be notified to you by email at least 30 days before it takes effect.
Continued use of Theramate after this date constitutes acceptance of the new terms.
These Terms are governed by Belgian law.
Any dispute relating to their interpretation or execution shall be submitted to the courts of Brussels.
