Every therapist works with their own method, vocabulary and instruments. Theramate adjusts to your practice, whether you are a psychologist, psychotherapist, psychiatrist, sex therapist, psychomotor therapist or coach, working in CBT, EMDR, systemic therapy or with a psychoanalytic orientation. You create your tools, your session reports and your templates, and the assistants read the file through your own lens.

In your « Profile », you choose your profession. Depending on the profession, Theramate then offers your therapeutic orientations or your areas of practice.

Your profession and your approach, taken into account
Your profession, orientations, areas of practice and client groups set three things.
- The session summary keeps your vocabulary. In EMDR, it speaks of desensitisation, reprocessing and bilateral stimulation. In systemic therapy, of triangulation and homeostasis. In ACT, of cognitive defusion and psychological flexibility.
- The assistants adapt their answers to the orientation that fits the question, and their style to your profession.
- The report catalogue puts the reports for your profession first, among sixteen reports specific to a profession.
You can declare several orientations, and the assistant uses the one that fits the question asked.
Your clinical tools, described in words
In the file, the « Clinical tools » card offers the Theramate catalogue, your tools and the « Start designing » button. You describe in your own words the tool you use in session, for example an exposure hierarchy, an ACT matrix or a crisis plan. The assistant builds a first version that takes shape alongside, and you adjust it until it is yours.
| Situation | SUD | Status |
|---|---|---|
| Two underground stops | 30 | Done |
| Queue at the supermarket | 55 | In progress |
| Train journey alone | 80 | To do |
| Component | Examples |
|---|---|
| Measures | Scale, number, rating, checkbox, timer |
| Text | Short answer, long note, instruction |
| Choices | Single choice, multiple choice |
| Structures | Tracked list with statuses, grid, table |
« Fill example » simulates several sessions to check that the tool holds up. You then click « Save tool ».
The tool is filled in during the session, from the « Tools & Reports » panel, and every entry stays dated. The « Progress » tab shows what changed, session by session. The tool’s data feeds the file assistant, your clinical reports and the file export. The tool is for the practitioner only. To have the patient fill something in, you use a questionnaire or a self-observation.
The catalogue also offers ready-to-use tools, such as the EMDR targeting plan, with targets, negative and positive cognitions, SUD, VoC and body sensations.
Your session report, written after every session
With « My custom follow-up », you design your own session report and Theramate fills it in after every session, from your notes and the transcript. The sections are the same from one session to the next, so you can follow the progress.
Each section takes the form of a list, quotes, a paragraph or a table. It is either a « Record », faithful to the words of the session, or an « AI analysis », which offers hypotheses tied to a specific moment. You can, for example, note dreams reported and their associations, automatic thoughts and the associated emotion, body sensations or what you felt in session. The same follow-up can be kept in your templates to reuse with other patients.
The details are in Everything Theramate prepares when you close a session.
Your report templates, in your format
Your assessments and letters keep their usual format. In « Clinical reports », the « My templates » tab gives you two starting points.
- « Import an existing template », as a PDF or a Word file. A PDF keeps its layout, and Theramate fills in its fields one by one.
- « Create with the assistant », by describing the sections you want.
The template stays available for all your files. For each report, you choose the consultations it covers, and the report can still be edited once written. The details are in Theramate writes your reports and letters from the patient file.
Reports for every profession
The catalogue includes reports common to everyone, such as the structured history, the functional analysis or the therapeutic evolution review, and reports specific to a profession. With « Who is it for? », you choose the recipient, a clinician, the patient or their family, a non-clinical third party or your own file.
| Profession | Specific reports |
|---|---|
| CBT psychologist | Global CBT formulation, cognitive case conceptualization, behavioural experiment |
| Neuropsychologist | Learning difficulties assessment, cognitive concerns |
| Speech therapist | Childhood fluency assessment, adult swallowing |
| Psychomotor therapist | Child psychomotor assessment |
| Occupational therapist | Everyday activities and participation |
| Psychiatrist | Antipsychotic treatment review |
| Sex therapist | Erectile difficulties assessment |
| Addiction and smoking cessation specialist | Change plan, preparing to quit tobacco |
| Coach | Experiment review and next action |
Your own clinical framework
In « My workspace », « My clinical framework » holds the texts your work is built on, such as your reference manual, the protocol you follow or your code of ethics, as a PDF, a Word file or a text.
| Type | Examples |
|---|---|
| Approach | A CBT or systemic therapy manual |
| Protocol | A session-based programme, a practice guide |
| Reference | An article, a guideline |
| Rule | The code of ethics, your service’s procedures |
| Style example | Your reports, a required template |
Under « What your assistants keep from it », you reread what Theramate keeps from each text.
In the assistant, the « + » lets you « Read with my framework » or « Write with my framework ». You choose the text with each request, nothing applies by itself. The facts always come from the file, and any reading through your framework is phrased as hypotheses. The framework also helps you create your tools and your self-observations. Attach an EMDR protocol, and its steps and measures become the structure of the tool.
What you find for your practice
| Practice | What you find or create |
|---|---|
| CBT | Cognitive case conceptualization, exposure hierarchy, automatic thoughts followed after every session |
| EMDR | Targeting plan with SUD and VoC, reprocessing vocabulary kept |
| Systemic, couple and family | Dynamic genogram, several participants in session |
| Psychoanalytic orientation | Dreams and associations, countertransference noted after every session |
| ACT | ACT matrix, defusion and values in the vocabulary |
| Sex therapy | Erectile difficulties assessment |
| Psychomotor therapy | Child psychomotor assessment |
| Coaching | Experiment review and next action |
Your questionnaires and your self-observations
You import your own questionnaires, those from your training or those of your team, and they are scored like the ones in the catalogue. You create self-observations by describing what the patient should note between sessions, whether a sleep diary, moments of tension in a couple or cravings. The details are in Longitudinal follow-up of your patients.
Your intake and your emails
- Your intake questions. In the form sent before the first appointment, « Your questions » adds up to ten questions specific to your practice.
- Your reminders. You choose the confirmation, the reminder timing and a « Custom note » included in your appointment emails, along with your own « Cancellation message ».
- Your recipients. For each patient, the « Usual recipients » are set by type of message, such as both parents for appointments or the GP for reports.
- Your message. A questionnaire or a self-observation goes out with a few words from you.
Your content, protected
- Your tools, your session reports and the sheets from your framework are encrypted with a key unique to each practitioner.
- A text about a patient goes in their file, never in your framework.
- Your file is hosted and operated in the European Union, on HDS v2.0 certified infrastructure.
The details are on the security page. The assistants are presented on the AI assistants page, and the patient file on the patient files page.
The criteria for choosing practice software are gathered in How to choose software for your therapy practice in 2026.
- Your profession, orientations and client groups set up the assistants and the report catalogue.
- You create your clinical tools by describing them, and they are filled in during the session.
- Your own report is written after every session, with the sections you choose.
- Your report templates are imported from the document you already use.
- Your reference texts guide the assistants, and the facts always come from the file.
